The School Office - Learning and Teaching
What do we do and how can we help?
The School Office provides a wide range of administrative and student support for approximately 800 Undergraduate and Taught Postgraduate students. The office also provides a range of important information required by staff and Advisers of Studies to manage their academic affairs effectively. It also services School and College committees, which make decisions on issues such as teaching programmes, student progression, student recruitment and research related activities.
The School Office has responsibility for ensuring students record of academic achievement is accurate, this may include things like; amending module choices, entering and amending results, checking scotcat credits and updating personal details. The School Office works closely with Registry Services on many of these matters and they are the main contact for awards and printing of academic transcripts. If you have a query or need any assistance please make your way to the School Office reception desk in Carnelley and we will be happy to help.
The School Secretary, Mrs Linda O'Neill, can also be consulted on any administrative matter which may affect you during your time as a student within the School. The School Secretary has particular responsibility for advising students on the rules and regulations

School Office Forms & Information
- Medical Certificates must be submitted directly to the School Office as soon as you are in receipt of them from your GP/hospital. You are required to complete an absence form to the School Office directly. Please find below a copy of the official absence form.
The School Office has a responsibility to students for ensuring that the appropriate members of academic staff (the Heads of Departments in which you are studying, your Adviser of Studies and Personal Tutor) are notified of your certification.
Confidentiality underpins a considerable amount of the School's day to day business and you can be assured that discretion is paramount.
Absence Form
- Change of Address It is important that any change of address (term and/or home address) is notified as soon as possible to the Registry Office. Your prompt notification of any change of address will ensure that the University and College are able to communicate with you effectively. Please see the attached link for the
Registry Office on how to contact them.

- Official Letters are available on request to undergraduate students of the College. You will be asked to complete a pro forma and the letter will normally be available 48 hours thereafter.
An official letter confirms a student's degree programme, year of study and expected date of graduation and can be used to verify his/her
status as a student of the University of Dundee.

- Official Academic Transcripts containing detailed information on your studies to date are available directly from the Registry Office. Please note, if your studies began before 1996/97 please contact the School Office directly for a transcript.
- Degree Examination Timetables are available on the Registry website.

- Considering withdrawing from your studies? Due to the importance of making the correct decision on
whether or not to withdraw from your studies, it is imperative that you speak to your Adviser of Studies
in the first instance. He/she will help you reach a decision and direct you to the School Office for further guidance.
If you do decide to permanently withdraw , please complete the following form Withdrawal Notification Form
or pick up a copy from the School Office. If you encounter a significant problem
during your studies and wish to temporarily withdraw, please contact the School Office to make an appointment to
discuss the possibility of taking a break or having the academic session discounted.
- Discounted Year - You must, in the first instance, meet with your Advisor of Studies followed by the School Secretary to discuss, in confidence, your circumstances.The decision to discount an academic year of study lies solely with the Dean. A written request must be submitted to him after you have met with the School Secretary, detailing the problems encountered along with corroborating evidence (e.g. a medical certificate) and a written statement of support from an academic member of staff - address your correspondence to: Dean, School Office for Life Sciences Learning & Teaching, Carnelley Building, The University of Dundee, DUNDEE, DD1 4HN. Guidance Notes for discounted year
Please note that 48 HOURS are required at all times in order to produce or authorise official documents. The School Office deals with many requests from both students and staff, and this timescale must
be adhered to in order to ensure a high quality of service. Please allow for this delay when you request the services of the School Office.
